Privacy Policy

Meeting Treasurer (“Meeting Treasurer,” “we,” “us,” or “our”) provides a bookkeeping tool that helps the treasurer of a group, club, or small organization track money and produce a treasurer’s report. This Privacy Policy explains what information we collect, how we use it, and the choices you have. If you have any questions, email us at [email protected].
1. Information we collect
- Account information. When you sign up, we collect your name and email address. If you sign in with Google, we receive your name and email from Google — we never receive your Google password.
- The records your group enters. Transactions (amounts, dates, funds and categories, notes), balances, fund and group names, and member roles. This is the data the Service exists to manage, and it belongs to your group.
- Forwarded payment emails (optional). If you use the Venmo import feature, the emails you forward to your group’s ingest address are processed to extract the amount, sender, note, and transaction ID. The parsed result and a copy of the message are stored so you can review and approve it.
- Billing information. If your group subscribes, payments are processed by Stripe. We do not see or store your full card number — we store a Stripe customer/subscription identifier and your subscription status.
- Support and feedback. If you contact us or submit feedback, we keep what you send so we can respond and improve the Service.
- Basic technical data. Standard server logs (such as IP address and request time) used to operate and secure the Service.
2. How we use information
We use your information to:
- provide and operate the Service — store your records, build reports, send the email you ask for, and process subscriptions;
- keep the Service secure and prevent abuse (for example, rate-limiting inbound email); and
- respond to your support requests.
We do not sell your data. We do not use your group’s financial records for advertising and we do not share them for marketing. Your records are yours.
3. How information is shared
We share information only with the service providers (“subprocessors”) that make Meeting Treasurer work, and only as needed to run it:
- Supabase — database hosting and authentication
- Cloudflare — application hosting, content delivery, and email routing
- Stripe — subscription payments
- Resend — sending transactional email (such as invitations and notices)
- Google — sign-in, if you choose to sign in with Google
We may also disclose information if required by law, or to protect the rights, safety, and security of our users or the Service.
4. Your choices and rights
- Export. You can export your group’s records as a CSV file at any time — even if a subscription has lapsed. Your records are never held hostage.
- Access and correction. You can view and edit your records directly in the app.
- Deletion. You can delete a group (an automatic CSV backup is generated first) or ask us to delete your account by emailing [email protected].
5. Data retention
We keep your information for as long as your account and groups are active, and as needed to provide the Service. When you delete a group or account, we remove the associated records, subject to short-term backups and any retention required by law.
6. Security
Data is encrypted in transit (HTTPS). Access to each group’s records is restricted to its members through per-group access controls. No method of storage or transmission is perfectly secure, but we take reasonable measures to protect your information.
7. Children’s privacy
Meeting Treasurer is intended for adults managing a group’s finances and is not directed to children under 13. We do not knowingly collect personal information from children.
8. International users
Meeting Treasurer is operated from the United States. If you use it from elsewhere, your information will be processed in the United States.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Effective date” above, and significant changes will be reflected on this page.
